Terms & Conditions

1) Scope and acceptance

1.1 These Terms & Conditions (“Terms”) govern access to and use of OneVasco’s online B2B self-onboarding platform (the “Platform”) by business customers such as corporates and travel agents (“Client”, “ you”).

1.2 By clicking “I Accept” (or equivalent), registering an account, topping up a balance, placing a booking, or otherwise using the Platform, you confirm that you have read, understood, and agree to be bound by these Terms.

1.3 These Terms apply together with Appendix 1 (“One Vasco Contracting Entities”), which forms an integral part of these Terms

2) Contracting Entity

2.1 Your use of the Platform forms a legally binding contract solely with the applicable One Vasco legal entity identified in the table set out in Appendix 1 (the “One Vasco Entity”), based on the entity through which you register and receive the Services.

2.2 The applicable One Vasco Entity shall be deemed identified by reference to Appendix 1 and this identification forms an integral part of these Terms.

2.3 Any prepaid balance and any bookings are entity-specific and region-specific and are not transferable between One Vasco Entities.

3) Registration, authority, and account security

3.1 You represent that:
(a) you are registering on behalf of a business (not as a consumer); and
(b) you have full authority to bind the Client to these Terms and to place bookings for your employees, travellers, and/or customers, as applicable

3.2 You must ensure all information provided during registration (including entity details, contact details, and authorised users) is accurate and kept up to date.

3.3 You are responsible for safeguarding account credentials and for all activity occurring under your account.

4) One Vasco Services

4.1 One Vasco will provide visa concierge and related support services made available on the Platform for the relevant region (the “Services”).

4.2 The Services assist with visa requirements (i.e. advisory, document checks, form filling, appointment support), but visa decisions and processing timelines remain solely with embassies, consulates, or other governmental authorities. One Vasco has no control over such decisions.

4.3 Third-party dependencies. The Client acknowledges that the availability of visa appointments, processing timelines, and visa outcomes are determined by third parties outside OneVasco’s control, including embassies, consulates, ministries, visa application centres (VACs), and other embassy-designated entities (EDEs). Service delivery may therefore depend on such third parties and on factors such as appointment availability, system availability, and changing requirements. One Vasco shall not be responsible or liable for delays, failures, or outcomes caused by such third-party dependencies.

4.4 Any mission or authority fees, third-party charges, and government fees (if applicable) are separate from One Vasco service fees and may be payable in addition.

5) Advance payment for services

5.1 The Platform may allow you to prepay and maintain an on-platform balance (the “Prepaid Balance”) for convenience.

5.2 The Prepaid Balance is advance payment against future Services/Bookings and is not:
(a) a bank account;
(b) electronic money / stored value; or
(c) a “financial balance” product.

5.3 The Prepaid Balance may be used only to purchase Services offered by One Vasco It cannot be used outside One Vasco services.

5.4 No interest is payable on any Prepaid Balance.

5.5 The Prepaid Balance is not transferable to other clients or accounts and is not withdrawable “on demand” as money, except as expressly provided in the refund/settlement terms below.

6) Top-ups, payment processing, and receipts

6.1 Top-ups are collected via the payment gateway used by One Vasco.

6.2 You authorise One Vasco (and its payment providers) to process payments for top-ups and bookings in accordance with these Terms.

6.3 One Vasco will issue receipts/transaction confirmations through the Platform or by email, as applicable.

7) Bookings and how the Prepaid Balance is applied

7.1 When you place a booking for Services (a “Booking”), the applicable fees will be deducted from the Prepaid Balance (if available) or charged using another payment method made available on the Platform.

7.2 A Booking is deemed confirmed when the Platform shows confirmation (or when confirmation is sent by One Vasco by email).

7.3 If the Prepaid Balance is insufficient, you must top up or use an alternative permitted payment method to proceed.

8) Unused balances, termination by client, and refunds

8.1 If you wish to stop using the Platform or terminate your relationship with One Vasco, you may request closure of your account by written notice through the Platform support channel.

8.2 Where you terminate/close the account and have an unused Prepaid Balance (after deducting any outstanding amounts for confirmed Bookings/services already delivered), One Vasco will process the refund to the original payment method used for the relevant top-up(s), as part of settlement.

8.3 Refund processing timing and any required documentation may depend on payment gateway rules and applicable law; One Vasco may request reasonable information to validate the refund request and prevent fraud/chargebacks.

8.4 No cash withdrawals are available through the Platform.

9) Client obligations

9.1 You and any travellers/applicants for whom you place bookings, must provide accurate, complete, and lawful information and documents.

9.2 You are responsible for meeting deadlines and attending appointments where applicable.

9.3 You must comply with applicable laws and must not use the Platform for unlawful purposes.

10) Data protection

10.1 Each party will comply with applicable data protection laws. Where personal data is processed in connection with Services/Bookings, the parties acknowledge that each may act as an independent controller in respect of its own processing activities as applicable.

10.2 You confirm you have the right to provide personal data of travellers/applicants where applicable, and to request Services on their behalf.

11) Intellectual property

11.1 The Platform, One Vasco trademarks, and related content remain the intellectual property of One Vasco and/or its licensors.

11.2 You may not copy, reverse engineer, or misuse the Platform or any One Vasco materials.

12) Confidentiality

12.1 Each party will treat the other party’s confidential information as confidential and use it only for the purpose of these Terms and performance of Services.

13) Limitation of liability

13.1 One Vasco is not liable for losses arising from: inaccurate information provided by you/applicants, missed deadlines/appointments, or third-party dependency failures/delays (embassies, EDEs, VACs, authorities), and similar external factors.

13.2 To the maximum extent permitted by applicable law, One Vasco shall not be liable for any indirect or consequential losses, including, without limitation, loss of profits, loss of business, loss of revenue, loss of goodwill, or loss or corruption of data, arising out of or in connection with these Terms or the Services.

14) Suspension and termination by One Vasco

14.1 One Vasco may suspend or restrict access to the Platform or Services if you breach these Terms, engage in suspected fraud/abuse, fail to pay amounts due, or where required for legal/compliance reasons.

14.2 One Vasco may terminate these Terms for material breach (with cure where applicable) or where necessary to protect One Vasco’s reputation or comply with law (subject to mandatory law).

15) General

15.1 No partnership/agency: Nothing in these Terms creates a partnership, joint venture, or agency relationship.

15.2 Assignment: You may not assign these Terms without One Vasco’s consent. One Vasco may use subcontractors to deliver Services.

15.3 Changes: One Vasco may update these Terms from time to time; continued use after publication constitutes acceptance (subject to mandatory law).

15.4 Governing law: These Terms and any dispute are governed by the laws of One Vasco’s jurisdiction, and disputes shall be subject to the competent courts of that jurisdiction.

16. Entire Agreement and Acceptance

16.1 These Terms constitute the entire agreement between you and One Vasco in relation to your access to and use of the Platform and the Services, and supersede all prior understandings, communications, or agreements, whether written or oral, relating to the same subject matter.

16.2 If any provision of these Terms is held to be invalid, unlawful, or unenforceable under applicable law, such provision shall be deemed severed and the remaining provisions shall continue in full force and effect.

16.3 Any provisions which by their nature are intended to survive termination (including, without limitation, provisions relating to limitation of liability, confidentiality, governing law, and dispute resolution) shall survive termination or expiry of these Terms.

16.4 By clicking “I Accept” registering an account, topping up a balance, placing a booking, or otherwise using the Platform, you confirm that you have read, understood, and agree to be legally bound by these Terms.

Appendix 1
